VA Training Time: How Long Does It Really Take to Onboard a Virtual Assistant?
Understanding Virtual Assistants
A virtual assistant is someone who handles your admin, customer service, social media, or data entry—the work you'd hand to an office staff member, except they're remote, usually in the Philippines, and they cost a fraction of an Australian hire.
I've been hiring offshore since 2012. Started at REMAX, now run Shore Agents. The Philippines sends half a million workers into BPO every year. Most are solid. Some are brilliant. A few you'll fire in week two. The difference is onboarding.
Why Onboarding Matters
Bad onboarding kills good VAs. Good onboarding makes mediocre hires useful.
Get it right and you see:
- Faster productivity: A VA trained on your systems does the work. Untrained ones ask "how?" every third message.
- Lower turnover: VAs who know the job and feel valued stick around. The ones flailing leave.
- Cleaner handoffs: Clear task lists and regular feedback beat vague instructions and email chains.
Key Tasks and Responsibilities of a Virtual Assistant
Not all VAs are equal. Some handle admin well. Others struggle with anything technical. Know exactly what you need before you hire.
- Administrative support: Calendar management, email triage, appointment booking, travel arrangements.
- Customer service: Email support, chat responses, order handling, basic troubleshooting.
- Social media management: Posting content, comment moderation, scheduling, engagement.
- Data entry: Spreadsheets, databases, form filling, file organization.
- Research: Competitive analysis, market data, lead gathering, report prep.
"General admin" is too vague. "Book travel, manage my inbox, and schedule calls" is a job description.
How to Hire a Virtual Assistant
The process is straightforward:
- Define the role: Write exactly what they'll do. Include tools they'll use (Slack, Gmail, CRM). Be specific.
- Choose your source: Upwork and Fiverr are quick but chaotic. Staffing services like Shore Agents pre-screen and match. Upside: less vetting work. Downside: less control. Your choice.
- Interview properly: Ask them to show you work—a spreadsheet they've built, an email they've written, a report. Don't just chat. For offshore hiring, NBI clearance is standard. Ask for references. If they've done the work, they'll have them.
- Agree on terms: Hourly or monthly. Contract length. Probation period (30 days is standard in the Philippines). Payment method.
Cost Considerations
Philippine VAs run $5–$15/hour depending on skills. Experienced bookkeepers, project managers, developers go $20–$40/hour. Australian VAs or senior offshore staff run $50+/hour.
On that $5–$15 range:
- $5–$8: Junior staff, basic tasks, high supervision needed.
- $8–$12: Solid mid-level. This is the sweet spot—admin, customer service, straightforward work, minimal babysitting.
- $12–$15: Experienced. Runs small processes, trains others, needs less direction.
Don't chase the cheapest rate. You'll spend your savings redoing their work. Mid-tier ($8–$12/hour in the Philippines) gets you someone who doesn't need constant oversight and actually improves your operation.
Why Choose the Philippines and ShoreAgents?
The Philippines isn't the cheapest anymore—India and Bangladesh undercut them. But they have two massive advantages for English-speaking companies:
- English proficiency: Most speak proper English. No translator needed between you and your VA.
- Cultural alignment: Philippine work culture meshes with Western business norms. They understand client service, deadlines, hierarchy. Less culture clash than some other regions.
I built Shore Agents in Clark because the infrastructure works. Reliable power, internet, tax incentives, and 500,000+ skilled workers in the pipeline. I've been hiring offshore since 2012. The Philippines isn't the only play, but it's the one that works consistently.
The VA Onboarding Process: Timeline and Tips
Here's what realistic looks like:
- Screening and hiring (1–2 weeks): Writing the brief, interviews, reference checks. If you use a service, this compresses. If you're hunting on Upwork, it stretches.
- First setup (1–2 weeks): Tool access (Gmail, Slack, whatever). Walk them through your processes. For admin, show them your calendar, email folders, how you like things noted. Most of this is you explaining, them taking notes.
- Supervised work (2–4 weeks): They're doing real work under your watch. Check their output daily. By week 3–4 they're hitting stride. By week 5, you need to correct less.
- Independent work (ongoing): By month 2 they know the role. Spot-check, don't oversee. They ask fewer questions. If you have a complex process, they're starting to optimize it.
Total: 4–8 weeks from interview to mostly hands-off. If the VA has done your type of role before, the timeline compresses. If it's their first role of this kind, it stretches. The "trial period" is just onboarding. You're always evaluating the first month.
Timezone matters. Philippines is 12–14 hours ahead of US/Australia. Async work (email, spreadsheets, scheduled posts) works fine. Real-time stuff (meetings, Slack) needs overlap windows. Plan for it.
Final Thoughts
Hiring a VA is straightforward if you know what you want. Onboarding takes 4–8 weeks. Most of our Shore Agents clients add a second VA within 6 months because the first one freed up so much time.
The timeline depends on you as much as the VA. Clear requirements, process docs, and realistic expectations compress onboarding. Vague briefs, zero documentation, and hope stretch it to 3 months or more.
Document your processes before you hire. Spend 2 hours recording video walkthroughs of the work. Sounds painful. Saves 10 hours of back-and-forth explanation.
If you're ready to start, we can place you in 1–2 weeks. After that, it's on you and the VA to make the working relationship stick. For more information on how to get started, visit our Get Started page or explore our Pricing options.
